1. About DaycareMate

This policy explains how DaycareMate (operated by IGENTX) collects and processes personal data when you use our childcare management software at https://sunshine-dev.daycaremate.com.

You are using an instance operated by Sunshine Daycare (Sunshine Daycare LLC). DaycareMate provides the technology; your centre provides the childcare services.

2. Data we process on the platform

• Parent and guardian names, email addresses, and phone numbers
• Child enrolment, attendance, activity, and care-related records
• Documents and images uploaded for admissions or daily updates
• Billing, invoice, and payment reference data
• In-app messages between parents and staff
• Account credentials, audit logs, and security events
• Security signals processed by Cloudflare Turnstile in invisible mode on public enquiry forms (silent bot protection; no visible challenge UI)

3. Why we process data

• Operate and secure the platform for participating centres
• Enable admissions, parent accounts, attendance, and messaging features
• Send transactional emails (invites, invoices, password resets) at the centre's direction
• Provide support, troubleshooting, and service improvements
• Meet legal, security, and fraud-prevention obligations

4. Legal roles

For childcare-related personal data, Sunshine Daycare typically decides why and how that information is used (data controller). DaycareMate processes data on the centre's instructions to deliver the software (data processor).

5. Sharing and subprocessors

We use infrastructure providers (for example cloud hosting, email delivery, and Cloudflare Turnstile for bot protection on public enquiry forms) strictly to operate the service. We do not sell personal data. We may disclose information if required by law or to protect the security and integrity of the platform.

Because we use Turnstile in invisible mode, we reference Cloudflare's Turnstile Privacy Addendum, which explains the limited technical signals Cloudflare processes for bot detection. Cloudflare's main Privacy Policy also applies.

6. Security and retention

We apply technical and organisational measures appropriate to a childcare management platform, including access controls and encrypted transport. We retain data for as long as the centre uses the service and as required by law or legitimate business needs.

• Family information: parent/guardian names, addresses, phone numbers, and email addresses
• Admission documents: identification, immunisation or health records, and signed agreements you provide during enrolment
• Daily care records: attendance, meals, naps, activities, incidents, and staff observations
• Photos and videos: images captured for daily updates, identification, or internal safety purposes (not for public marketing without separate consent)

• Service providers (such as DaycareMate) that host our management system under contract and only on our instructions

5. Photos, messaging, and parent communication

Activity photos and messages shared through our parent app are intended for enrolled families only. We do not publish children's images on public social media without explicit, separate consent. Parents should not share other children's photos from the app without permission.

6. Health and sensitive information

Health-related information is collected only when relevant to your child's safety and care. It is shared with staff on a need-to-know basis and stored securely. Please keep us informed of changes to allergies, medication, or emergency contacts.

7. How we keep information secure

• Access limited to authorised staff
• Secure digital systems with role-based permissions

• Physical records (if any) stored in locked or restricted areas

8. Retention
